MAG Adoption Administrator

Responsibilities

Please note, the Adoption Administrator role must be assigned by Exostar. Adoption Administrators can complete the following common tasks:


Access Adoption Module

To invite companies to access your partner applications secured in MAG, an employee within your company should be assigned the role of an Adoption Administrator. This role must be assigned by Exostar.

To access the Adoption Module:
1. Contact Exostar to request access to the Adoption Module for this user. 
2. Once assigned the role of Adoption Administrator you will have access to the Adoption Module. The module is available from the Adoption tab in your MAG account.
3. You can invite external companies and internal users to access Partner Applications and services located within MAG.

Search MAG for Possible Matches

Before issuing a MAG invitation for an Organization, first search within MAG to see whether the Organization already exists.

To search in MAG for an existing organization:
1. From the Adoption tab, click View Existing Invitations
2. Search our database to see whether the Organization and User already exist in our system.
3. To begin your search first lookup the User’s email address, and then by the Name of the Organization. 
4. If the user has an existing MAG account, you can search the database by the User ID. Pick the invitation scenario that fits your situation, and complete the steps.

Invite a New User & New Organization

Invitations are valid for 30 days. Once they expire, you must issue a brand new invitation.

To Invite a New User and Organization:
1. After you have searched for the organization and a match is not found, then scroll to the bottom of the page. Click Add Organization to complete the profile for the organization.
2. Verify or enter organization details on the Invite Organization-Basic Information page, and click Next.
3. The system generates a list of possible matches. Review the list, and if you do not see any matches, click Ignore Duplicate Matches and Request New Organization.
4. From the Actions menu on the left, click Edit Organization Subscriptions. Select the application to which you are subscribing the organization. If you have a Partner or Vendor ID, enter it in the External Organization ID field, and click Save.
5. From the Actions menu, click Invite New User. Complete profile details and select desired applications and credentials. Selecting a credential initiates an e-mail to the user with the invitation to complete a purchase. Enter the User’s Partner or Vendor ID (if available) in the External User ID field. Enter an optional message for the user, and click Save.
6. Click Add Another User to invite additional users. Otherwiseclick Return to Organization Details, and click Submit Invitation.
After the invitation is submitted:
1. The user will receive an email inviting them to Register their Organization for a MAG account.
2. During the registration, the user is asked to Assign the Organization and Application Administrator roles. 
3. After Exostar approves the organization registration, the Organization and Application Administrators will receive an Account Activation email inviting them to access MAG. 

Invite Existing Organization & New User

If the Organization already exists in MAG, you must invite them to your Applications.

To invite an existing organization and new user:
1. From the Adoption tab, click Search Organizations.
2. After finding the matching organization, click the organization’s hyperlinked name.
NOTE: You can determine if the organization is subscribed to FIS Medium Level Hardware or EAG from the Organization Search view. 
3. Click Invite Organization from the Actions menu, and click Edit Organization Subscriptions. Select the application to which you are subscribing the organization. If you have a partner or vendor ID, enter it in the External Organization ID field, and click Save.
4. From the Actions menu, click Invite New User. Complete profile details, and select desired applications and credentials. Selecting a credential initiates an e-mail to the user with the invitation to complete a purchase. Enter the user’s partner or vendor ID (if available) in the External User ID field. Enter an optional message for the user, and click Save.
5. Click Add Another User to invite additional users. Otherwiseclick Return to Organization Details, and click Submit Invitation. The User will receive an Account Activation email to access MAG.

Invite Existing Organization & Existing User

To invite an existing organization and existing user:
1. From the Adoption tab, click Begin New Invitation.
2. Enter the user’s email address. Click Search.
3. Review search results, and select the correct user and organization by clicking on the user’s hyperlinked last name.
4. From the Invitation Information section, select application(s).
5. If the user requires an OTP product or proofing, select the appropriate options. Selecting a credential initiates an e-mail to the user with the invitation to complete a purchase. Enter the user’s partner or vendor ID (if available) in the External User ID field. Enter an optional message for the user.  Click Next.
6. Click Save, then click Submit.
7. The User is now subscribed to your applications. 
NOTE: If the company is not currently subscribed to these applications, the user is automatically assigned the Application Administrator role for the applications. The new Application or Organization Administrator must accept Terms & Conditions before users within the organization can request access to the applications.

Invitation Issuance for Sponsored Credentials

The steps below provide instructions to invite new or existing users, when credentials are sponsored by the partner organization.  

To issue an invitation for sponsored credentials:
1. Ensure the User Profile Information section is complete. Scroll to the Invitation Information section to select the application you are subscribing the user to access.   
2. If sponsoring credentials, check Yes and select the credential type. If your organization has insufficient funds for sponsoring user credentials, you are notified to contact Exostar Sales to replenish funds.
3. When ready to submit, click Save. 

The user receives an email with the information their credential is sponsored. If you have set an expiration date for the credential, the user must complete registration before the expiration date.
