What roles are available within Teams for my team members?
There are 4 roles available to users within the solution:
Sponsor Administrator: The individual(s) that will manage the Exostar Managed Microsoft 365 for CMMC for an Exostar customer. This role invites users into Exostar Managed Microsoft 365 for CMMC from their own organization and from partners, suppliers, and other organizations. Sponsor Administrators create the team spaces used to store, share and process Controlled Unclassified Information (CUI).
Team Manager: The Team Manager role enables designated members to perform team-level management functions including inviting users and managing the Team space.
Member: The contributor role for any member of the sponsor organization within the Team.
Partner: Your external Partners who also have contribution abilities within the Team.
How do I add people to my team?
Users with the sponsor administrator or team manager role can add team members using the Exostar Managed Microsoft 365 app:
1. Choose Exostar’s Managed Microsoft 365 on the left side of Microsoft Teams.
2. Select Invitation at the top.
3. Enter the user’s email address. Click Lookup to verify the user is eligible to be invited.
4. Select the checkbox next to the user in the search results.
5. Choose a team.
6. Click Submit Invitation.

NOTE: To prevent invitation of unauthorized users, adding team members using the Microsoft Teams Add Member option is not supported. All invitations must be initiated through the Exostar Managed Microsoft 365 application.
How do I remove a member from my team?
Users with the sponsor administrator or team manager role can remove team members using the Exostar Managed Microsoft 365 app:
1. Choose Exostar’s Managed Microsoft 365 on the left side of Microsoft Teams.
2. Select Manage Teams.
3. Choose a Team.
4. Select Team Members.
5. Select Edit next to the member to remove. Select Delete Member.
6. Click OK to remove the team member from the team.

How can I access the Managed Microsoft 365 app using the desktop version of Teams?
If you are connecting to the Exostar Managed Microsoft 365 via Exostar’s Managed Access Gateway and you do not have your own Microsoft GCC High Tenant, you will not be able to access via the Teams desktop application. The desktop application does not support connecting to a remote identity provider like Exostar so you will need to use the web-based application via your browser.
Which NIST 800 171 controls does Exostar Managed Microsoft 365 satisfy?
The Exostar Managed Microsoft 365 solution satisfies 85 of the 110 NIST 800 171 controls. The other 25 controls are a shared responsibility. See the “Shared Responsibility Matrix” document (https://tinyurl.com/ExostarCompliance).

Are there any limitations for file size, number of teams, etc.?
We conform to the limitations of Microsoft Teams. Limitations can be found here:

When I view my user information, I do not recognize the email address, what email is being used?
To gain access to the GCC solution without a GCC account, we create an account for you in GCC and forward emails from this account to your email address.
Emails are getting sent to my junk folder. How can I prevent this?

Can I download files from M365 to my local computer/laptop?
Yes, you can download files. Once it leaves the enclave, the organization that has downloaded the files is now subject to protect that document under the NIST 800-171/CMMC compliance ruling.
Can Visio files be viewed and edited?
You can view Visio files within the application, as well as provide comments, but you cannot edit the file(s). If you require the ability to edit files, please contact Sales.

Compliant File Drop

I already have a subscription to Exostar’s Managed Microsoft 365 but have not purchased this add-on.  How can I gain access to this feature?
– Please make a request via this form.
– Alternatively, reach out to your Exostar sales representative.
Is an Exostar Managed Microsoft 365 seat license required to send Compliant File Drop messages into my enclave?
– No, File Drop messages senders do not require a seat license.
– However, to collaborate within the team, users must have an Exostar Managed Microsoft 365 seat license and be invited to the team that received the message.
– Sponsor Administrator / Team Manager roles can read and export the message and its attachments.
– Once exported, all roles invited to the team can login and collaborate on the file attachments within their web browser.
At what point is CUI (Controlled Unclassified Information) in the File Drop message considered protected by Exostar’s Managed Microsoft 365?
As soon as the File Drop message arrives within our environment it is within the Exostar boundary and is immediately compliant.
How do I know File Drop messages and attachments are safe?
– Exostar’s Managed Microsoft 365 is powered by Microsoft 365 in their GCC-H government cloud environment.
– Before the sponsor organization receives the File Drop message and its attachments, it is scanned for malware, ransomware and viruses.

Will sponsor administrators / team managers receive notifications when a new file drop message arrives at the team?
For this initial release, no. However, compliant file drop is in rapid development. This is considered a high priority roadmap item.
Will the Compliant File Drop feature become available in the Enterprise editions of Managed Microsoft 365?
Yes! The Compliant File Drop feature will be available soon for Enterprise customers.
Can I send files compliantly?
We are currently working on this for a future release.
