Exostar’s Managed Microsoft 365 Compliant File Drop

Compliant File Drop allows Exostar’s Managed Microsoft 365 customers to bring files into their NIST SP800-171 compliant sites directly, without going through any non-compliant internal systems. This allows any company you are working with to send CUI (Controlled Unclassified Information) into your enclave, safely and within compliance. Please see the Training Resources page for a Feature Overview Video and FAQs regarding this process.

Enable File Drop

Sponsor Administrators and Team Managers have the ability to enable file drop within the team.

  • Exostar takes a deny by default approach and the Compliant File Drop capability is disabled for any new or existing team 
  • Sponsor Administrators or Team Managers can click on Manage Teams > Select the Team > Details within the Managed Microsoft 365 Teams application and enable the feature 
  • Once enabled anyone can send File Drop messages to the team 

NOTE: You will need to repeat this process for any team you wish to File Drop enable. 

Once enabled in your team, simply follow these steps: 

1. Sponsors provide the email address for receiving documentation 

2. Partners send an email, with the attachment(s) 

3. Sponsors review the email and export the documents into the team site within their compliant enclave for further collaboration 


Sender Process Details

For a Partner to send documents directly to their sponsor, the user simply sends an email with attachment(s) to the email address provided by the sponsor. 


Recipient Process Details

As a Sponsor Administrator or Team Manager with access to the team: 

1. Open the Exostar Managed Microsoft 365 Teams app, select Manage Teams and select the team from the drop down. 

2. On the left side menu, click File Drop Inbox to load the File Drop Messages. Select your message and click Export to bring the files into your team.

NOTE: Once a file drop message is exported, a new folder is created, the file drop message is converted to PDF, and the attachments are exported.

3. On the confirmation message click the link to view.
